If you’re not already part of the Jane Community, it’s nice to meet you! We’re so glad we get to share a bit about Jane with you here on the WDC blog.
Before we dive in, allow me to give you a quick introduction. Jane is a practice management software that came to life when our co-founder, Ali, was running her clinic. She wanted something that would make it easy to help her clients, be intuitive and easy to use, and (if we’re being honest) look pretty while doing it. Trevor offered to build her something. Flash forward 10 years, and we’re thrilled to be providing small business owners like you with a tool that does all that!
I’m here to share how Jane can help you streamline your most repetitive daily workflows, just as Ali and Trevor intended. And, you may have guessed, a lot of it comes down to automation. I’ll be showing off:

Speed up daily (repetitive) workflows with automation
We totally get that running a chiropractic practice is a unique job. And regardless of whether you’re running your practice solo or working with a team, there’s admin work involved. Shorter appointments mean more patients, more charting, more billing…basically more everything! But, seeing more patients in a day doesn’t have to mean more admin work. Especially when it comes to filling your schedule. Enter Wait List Notifications!
1. Wait List Notifications
Let’s take a moment to imagine you’re busy focusing on a patient and you receive a last-minute cancellation. Now there’s an unplanned gap in your day, and you have no time to fill it! Cue sweaty palms.
That’s why we’ve introduced a brand new way to manage your wait list using automatic notifications. Jane will automatically scan your wait list for you and send a notification to wait-listed patients that a spot has opened up. They can scoop up that appointment directly through the notification they receive, either by email or text.

2. Electronic Intake Forms
Another fantastic way we often see our chiropractors automate their practice is by transitioning from paper to electronic intake forms. It’s not only an opportunity to manage practice foot traffic but it also saves admin time. So, how does it work? Jane will automatically send your patients an intake form upon booking an appointment – either booking online themselves or by a staff member so that they can get that form completed before their visit.
If forms aren’t completed, Jane will continue to remind your patients (so that you don’t have to!) to fill them out on all email communication sent out before their upcoming appointment.
Each Intake form has four distinct areas where information is saved: Profile Fields, Insurance Information, Questionnaire, and Consent. All of the data that is collected within these forms auto-populates into the patients’ profiles. In other words, you can say goodbye to scanning, or saving paper files, as everything is stored safely and securely in Jane without any extra admin work. 🔒

3. Reminders
Sometimes your patients need a little help remembering when their upcoming appointments are. I totally get this, I can barely remember to water my plants once a week never mind remember an appointment I’ve booked three weeks out! 🪴 😂
This is where Jane’s automated SMS and email reminders come in. It’s a way to give your patients that kind little nudge before their appointment, but without the admin work. This, along with the requirement to save a credit card on file through Jane Payments, is perhaps one of the most widely used features to help reduce the likelihood of no-shows.
We recommend that practices set up their reminders as a “patient selectable” option (i.e., patients can opt-out from their client portal), and enable the reminder as soon as their patient list is in Jane.
For chiropractors, we most commonly see one SMS and one email reminder set up. The email is typically set up to send out 24 or 48 hours in advance, which also tends to be the late cancellation deadline, and the SMS is often set up 2 hours prior to the patient’s appointment.
